Overview

This page provides an overview and FAQ for Faculty availing of hybrid working.

The policy acknowledges existing hybrid working practices of faculty predating the trial; these arrangements will continue under the agreement of the relevant Head of School.

Subject to that agreement, while faculty do not need to request approval for hybrid working, there is a requirement to indicate compliance with health and safety requirements via InfoHub and confirm their normal remote working location via InfoHub.

Key Principles

  • UCD is a campus-based university that prioritises the delivery of outstanding education and research and a vibrant student, faculty and staff community experience. 
  • The expectation that Faculty engaging in hybrid working will attend the campus when required to do so with reasonable notice provided.
  • While working off-campus as part of a hybrid arrangement, faculty will be available by phone and email throughout working hours just as if they were working on-campus.
  • The focus of all involved in a hybrid working arrangement will be on the delivery of excellent work outputs in an environment of trust, accountability, collaboration and community spirit, regardless of physical location.

Faculty Hybrid Working Arrangements

This page provides an overview and FAQ for Faculty availing of hybrid working.

The Hybrid Working Policy acknowledges existing hybrid working practices of faculty predating the trial; these arrangements will continue under the agreement of the relevant Head of School.

Accessing your Hybrid Working Request Form

The steps to find the form are as follows: 

  1. Log into InfoHub 
  2. Select Human Resources (top menu)
  3. Click on My Details 
  4. Click on 'My Hybrid Work Requests New!' icon to start the process

Process in detail

Faculty are defined as employees on Assistant Professor, Associate Professor, Professor and Full Professor pay scales and contribute to all three criteria;

Step 1 - Complete the prerequisites tasks

Step 2  - Discuss the working arrangement with the Head of School/Line Manager 

It is acknowledged that faculty members have always had the option to carry out certain duties by way of hybrid working arrangements. This is due to the nature of the work, which may involve field work, access to research facilities and other off-site activities. These working arrangements pre-date the UCD Hybrid Working Trial and will continue to apply.

The faculty member should discuss and agree hybrid working arrangements with their Head of School or Line Manager on an ongoing basis and in line with the needs of their School, workload model and the key principles in section 4.1.2. 

It is anticipated that discussions between the faculty members and the  Head of School will be ongoing in accordance with the requirements of the school and workload model. Faculty  are only required to complete this online request form once. 

Step 3 - Complete the online request form (InfoHub) 

Read the questions outlined on the online request form. 

  • Complete the employee information section 
  • Select UCD Faculty Hybrid Working for type of request
  • Proposed remote working location (primary remote working location address) 
  • Complete the Health and Safety provisions 
  • Complete the employee declaration 

Step 4  - Submit form

Receive a response within 4 weeks.

Faculty FAQ

An employee who is employed under a Faculty contract. 

Faculty are defined as employees on Assistant Professor, Associate Professor, Professor and Full Professor pay scales and contribute to all 3 criteria;

All employees who wish to avail of hybrid working, must request it via InfoHub.

Note: Faculty are requested to complete the online request form via InfoHub to complete the health and safety requirements and remote work location.  This form will be reviewed by the Head of School or direct Line Manager. 

University employees are required under health and safety legislation to take reasonable care to protect their own safety and health and that of any other person who may be affected by their actions at work, and this extends to when colleagues are engaged in homeworking and similar arrangements. 

Employees also have an obligation to co-operate with their employer in matters of health and safety. To that end it is therefore imperative that colleagues applying for a hybrid working arrangement complete the necessary safety training, read the relevant safety guidance materials, and complete their home-working risk assessment accurately. 

UCD as an employer has an obligation to provide employees with a safe place of work and safe equipment, and this extends to providing the necessary equipment as identified by the home working risk assessment as being necessary to allow employees to work safely.

Yes, employees who wish to avail of a Hybrid arrangement must complete both the Home Working Safely Training video and the Home Working Risk Assessment checklist, which are part of  the application process. The risk assessment should be signed and dated by the employee. 

If additional equipment is required as part of the risk assessment,  this should be discussed with the Line Manager.

A hybrid work request cannot be approved until these steps are confirmed as completed.

Note: It is not necessary to send the checklist to SIRC – that's for you to complete and review with your line manager. On InfoHub, simply confirm you've completed the checklist and have all the equipment you need. Only contact SIRC if you need advice or want to arrange a virtual assessment.

The checklist should be held by the person who completed it and be available for review if requested.

A Manager can request to see the form and it can be sought / requested at any time so as to ensure that the University is complaint with relevant legislation and the employee is complying with the requirements of the hybrid approval process.  

As part of the Home Working Risk Assessment Checklist employees should assess the suitability of their home working equipment. If additional equipment is required then the employee should contact their Line Manager.

In general employees should be provided with similar types of equipment as they have when working on campus.

Note that working arrangements comprehended under UCD’s reasonable accommodations process for an employee with a disability are outside the scope of the Hybrid Working Policy and will be dealt with under the reasonable accommodation and disability support process - See FAQ10.

The SIRC Office can carry out virtual ergonomic assessments of an employees'  home working setup as required. Employees who may be at higher risk during home working, for example due to a pre-existing musculoskeletal injury or other conditions, are strongly advised to utilise a virtual ergonomic assessment.  Contact (opens in a new window)sirc@ucd.ie to arrange.

While working remotely under a hybrid working arrangement, employees are considered to be at work. All accidents and incidents related to home working must be reported to the employees' line manager immediately and also to the UCD SIRC Office using an official Incident Report Form. Incident report forms are available on SIRC Website.

Due to the nature of the role, outlining the working arrangement on the hybrid working request form would not be feasible.

There is no requirement to complete this as part of the online request form.

Working arrangements

Arrangements need to be flexible to take into account

  • Workload allocations.
  • In person supervision for researchers.
  • On-campus teaching.
  • Responsibilities to meet students in-person.
  • Formal and informal interactions and collaborations on campus with researchers. students and colleagues during term and out of term time, including meeting. seminars, committees, working groups, key school meetings.
  • Contributing and engaging with school initiatives as they arise.
  • Administrative duties associated with the running of School/College/University.
  • In person meetings.
