Staff Frequently Asked Questions

Gender identity & expression are essential to experiencing wellbeing & fulfillment. UCD is committed to providing an inclusive and diverse environment.

If as a trans or gender non-binary student at the university, you wish to change your first name and/or gender on official university documents & across the university systems, the Student Desk can process your request without the need for gender recognition certificates.

UCD Conferring will facilitate students to choose which name to be used at their Conferring Ceremony. 

Where a student does not provide legal documentation in advance of graduation. The student is notified that parchments will be issued in their legal name.
The student is asked to confirm which name they would like to be called by at the ceremony and printed in the conferring booklet/website etc. This does not have to match their legal name on the parchment.

Where a student provides legal documentation. They can confirm which name is to be included on parchment, called out at  the graduation ceremony, printed in the booklet etc. 

Entrance Scholars/ Awards Day are usually held in March each year. Conferring Ceremonies are held in June, September and December. The full Conferring Schedule, with a breakdown of courses and conferring dates, can be viewed online.

Cohorts of note: PhD students: the conferring date will depend on when they submit the final copy of their hardbound thesis to the student desk and the next ACCE meeting after they have submitted.

Professional Masters of Education (PME) students: are conferred in absentia in July of each year. There will be no conferring ceremony in July.
If the students have successfully completed their masters and have no holds on their account, they will be invited to a conferring ceremony in December.

The collection of gowns before the graduation ceremony for staff will take place upstairs in the Robing Room, O'Reilly Hall.

If a graduate, staff member, or a guest, has special needs please do not hesitate to contact UCD Conferring so we may ensure your comfort and enjoyment of the ceremony. O'Reilly Hall and the other University buildings are accessible by wheelchair. Deaf Interpreters are also available, please contact us prior to the event to request such a service. 

If you would like to volunteer at the ceremony, please contact us. Please provide the date/time of the ceremony.

We can provide Visa letters for students and/or their guests. Please ask the student to submit a query and include the following information:
Date of Conferring Ceremony.
Names of guests if applicable.
Arrival date to Ireland and departure date. 

Emails will be sent to all students due to confer approximately two/three weeks prior to the conferring date.
Please note as the turnaround time for June is much tighter, emails will likely be sent 2 weeks before the ceremony.

If a hold is lifted close to the ceremony date, please contact us. We will be able to check if the student has been included. If they student is not currently included in the ceremony, we will do our best to accommodate them. 

If a student received their scroll by post and it has been damaged, they will need to contact us directly. They will need to include a picture of the damaged scroll for assessment. We will then assess the damage and determine if a new scroll can be ordered. Once we confirm whether or not they will get a new scroll,do not throw out the damaged scroll, just return it to us and we will destroy it in our office.

If they have received an incorrect scroll, you will need to let us know immediately. They will then be requested to return the scroll to our office and we will send them the correct scroll.

If a student has not received their scroll via post within a reasonable amount of time, we recommend the student takes the following actions:

  • Check to see if a neighbour has taken in the scroll. This sometimes happens if the individual receiving the scroll is out at the time.
  • Check to see if a 'missed delivery' card has been delivered to your address by your postal service. This often means that your post box was too small to fit the tube envelope. In this instance, you will need to collect your scroll at your local sorting office within a reasonable amount of time.
  • If their scroll was not at either of the above, we would recommend visiting their local post office to see if they have it. Our tube envelope is white with the UCD logo and our return address printed on it in blue.
  • If they have not received their scroll for 2 months if their home address is in Ireland, UK or Europe, or 4 months if their home address is in a country outside of Europe, please contact us. We can check to see if your scroll has been returned. 
  • If their scroll has not been returned, we normally deem the scroll lost and order you a new one from the National University of Ireland and send it out to them again. We would normally do this if the scroll has been missing for 3 months if their home address is in Ireland, UK or Europe, or 6 months if their home address is in a country outside of Europe. In this instance, we recommend that they change their address to an address they have access to and may be easier to reach.
  • If they have not received their scroll in over a year since their conferring date, they will need to contact the National University of Ireland to order a new scroll. They can contact them(opens in a new window)here.

Your degree is written in Latin.  If you require an English Translation/ a digital scroll or a duplicate scroll, please contact the
National University of Ireland (NUI).
