Exhibitor stands are allocated on a first-come, first-served basis, and are subject to approval by the UCD Careers Network. Recruitment agencies or online career platforms will not be facilitated.
Please note it is not possible to reserve a specific stand at the fair(s).
- The deadline to register as an exhibitor for the autumn Recruitment Fairs is Monday, 8 September 2025.
- The deadline to register as an exhibitor for the UCD Smurfit Careers & Internships Fair is Tuesday 1 October, 2025.
- The deadline to register as an exhibitor for the Internship Recruitment Fair is Monday 5 January, 2026
Registration is subject to approval and availability. We will operate a waiting list once we have reached capacity.
Exhibitors will be provided with:
- an exhibitor manual in advance of the fair, which will include detailed information about accessibility, venue, parking, catering, set-up and event timings.
- a guide on how to create an employer profile on MyCareer, UCD’s dedicated careers platform. MyCareer allows companies to post vacancies for UCD students and alumni.
Each Exhibitor will be provided with a shell stand, 2 chairs, and each stand will have a high countertop. The dimensions of the stands are 2.5m x 1.5m with a height of 2.5m.

- Lunch vouchers for registered attendees (up to 4 vouchers per registration)
- Dedicated Tea & Coffee dock
- Hot Lunch served in a private dining area

All confirmed timings will be provided to you in the exhibitor manual.
Doors to the venue will open for exhibitors from 9:00am. We encourage exhibitors to set up between 9:00am and 11:45am. Tea and coffee will be provided to exhibitors from 10:00 AM. The doors will be open to students at 12:00pm sharp for SET and BFM Fairs, and 1:00pm sharp for the Law Fair.
The finish time of each event will be advertised and promoted to all students both in advance and on the day of the event(s). We encourage exhibitors not to leave before the advertised finish time.
An early departure by exhibitors can be disruptive to students who may have a busy timetable, and expect to meet with specific employers once their classes are over.
Additionally, there are some students who prefer to attend towards the end of the event, when the hall is less congested and queues may be shorter. Please be mindful of this.
Exhibitors should bring their own signage and pull up banners.
Each exhibitor will be allocated an area of approximately 2.5m x 1.5m. Each area will contain a covered table and 2 chairs. There will be power available, but we encourage exhibitors to bring their own extension cables for ease of access.
We encourage exhibitors to bring information about their company and the employment opportunities they offer or want to promote.
We recommend that you bring a mix of digital and physical materials in order to cater to all student needs.
For accessibility purposes, we ask exhibitors to remain within their allocated stand area and any additional marketing equipment, e.g. videos, photo booths etc. must be approved by the UCD Careers Network.

In line with health and safety guidance at O’Reilly Hall, 4 staff members are permitted at each stand.
Parking is limited at UCD and it is not possible to reserve a parking space on the day. We highly recommend you consider public transportation alternatives or taxis when traveling to UCD. Yes, hot lunch will be provided with vegan and gluten free options available. In line with the maximum allowance of 4 staff members per stand and to prevent food waste a maximum of 4 lunch vouchers per exhibitor stand are provided.
All materials must be delivered directly to UCD O’Reilly Hall on the day of the event. UCD Careers Network cannot accept responsibility for deliveries that are sent in advance, or another location on campus.

There is a delivery entrance to O'Reilly Hall which can be used for dropping off any equipment or materials on the morning of the fair only.
The delivery entrance is on the north side of O'Reilly Hall, next to the loading bay, which can be accessed via the O'Reilly Hall car park.
UCD does not provide technical equipment (such as screens), but Exhibitors are invited to bring their own equipment in compliance with (opens in a new window)Health and Safety Requirement for Exhibitors. Power sources will be available but we encourage you to bring your own extension cable if you require access to power.

Should you wish to cancel your attendance or sponsorship, written notice is required at least 28 days in advance of the event in order to receive a full refund.
Cancellation notices must be sent to (opens in a new window)careersevents@ucd.ie and UCD Careers Network will confirm the cancellation once received.
If cancellation is received in less than 28 days before the event, the Exhibitor/ Sponsor will be required to pay the full amount of the attendance fee or sponsorship package respectively.
In the event of a no-show on the day of the Fair, the exhibitor will not be entitled to a refund and is obliged to pay the full cost.
The funds from the Recruitment Fair are used to pay student ambassadors, cover venue hire and set up costs, pay for gourmet catering, and for promotion using marketing and video.

The Recruitment Fairs are open to all UCD students. Each fair is named for the sectors represented on the day as opposed to specific colleges/schools. We encourage students from all backgrounds to attend the fairs each day. We can not guarantee which students will arrive on the day, but based on previous fairs we anticipate that each individual fair will attract students in programmes that relate to the respective sectors.
The UCD recruitment fairs are the largest Careers Network events of the year and are promoted across campus and via our various social media accounts, including Instagram and LinkedIn (@ucdcareers). The list of exhibitors is updated on the event registration details page, which students can access at any time.
All exhibitors are included in our student brochure, which is made available to students during the fair. This will include your logo and company details as well as a matrix which lets students know which schools and colleges you would like to recruit from.
We also encourage you to register as an employer on our (opens in a new window)MyCareer job vacancy platform and post your current opportunities in the lead up to the fair. Each year we create a Job Board with QR codes that link students directly to job opportunities from exhibitors at the fair.
